Executive Assistant

  • 492580
  • Brisbane, Australia
  • Supplyhaus
  • Full-time

About us

Supplyhaus, backed by the McNab Group, is reimagining construction supply. We specialise in providing and installing industry-leading façade, joinery, and steel solutions, delivering high-quality building products with builder expertise.

We are seeking an organised and proactive Executive Assistant to join our team based in our South Brisbane office.

About the role

Supporting our Head of Supply, you’ll combine executive support, business coordination and team communications to help keep a growing business moving.

This is more than a traditional administration role. From managing priorities and coordinating international travel to preparing meeting materials and following up on decisions, you’ll bring structure, sound judgement and attention to detail to a busy environment. You’ll be a trusted right hand, anticipating what’s needed, keeping commitments on track and ensuring nothing is missed.

As you build your understanding of the business, you’ll recognise what needs attention, resolve issues independently and help the Head of Supply focus on where they can have the greatest impact. The role offers exposure to international stakeholders and the broader McNab Group, with opportunities to learn and contribute beyond day-to-day executive support.

You’ll also help keep the broader Supplyhaus team informed and connected through internal communications, town halls and team events, while finding practical ways to simplify administration and improve how we work.

We’re open to someone with established Executive Assistant experience or a high-potential business support professional ready to step into a broader role. What matters most is your mindset: you take initiative, operate with complete discretion and have a genuine interest in helping a business and its people succeed.

Key responsibilities

  • Provide proactive executive support to the Head of Supply, anticipating needs and managing competing priorities.
  • Manage diaries, meetings, appointments and correspondence, ensuring commitments and priorities stay on track.
  • Coordinate domestic and international travel arrangements, itineraries and logistics.
  • Support meetings and communications with offshore businesses and international stakeholders.
  • Prepare agendas, presentations, reports and briefing materials to support effective meetings and decision-making.
  • Capture meeting outcomes, decisions and action items, ensuring follow-ups are completed.
  • Use existing AI tools and business systems to improve organisation, streamline workflows and automate routine administrative tasks.
  • Identify opportunities to simplify processes and improve day-to-day efficiency.
  • Coordinate team events, town halls, newsletters and internal communications.
  • Help foster a positive, connected team culture by keeping people informed and ensuring important details are taken care of.
  • Build strong relationships across Supplyhaus and the broader McNab Group, supporting effective communication and collaboration.
  • Manage general administration, documentation, records and business correspondence.
  • Assist with invoices, expenses, credit card reconciliations and other financial administration as required.
  • Maintain organised systems and accurate, accessible information to support efficient business operations.
  • Handle confidential information with discretion, using sound judgement and taking ownership of tasks from start to finish.

About you

You’re someone who makes life easier for the people around you. Resourceful and reliable, you have the confidence to get things moving and the judgement to know when to act independently and when to seek input.

You enjoy understanding how a business works, building trusted relationships and bringing order to a busy day. Whether you’re navigating a diary change or coordinating an important meeting, you stay focused on the details and follow through.

To succeed in this role, you’ll bring:

  • Experience in an Executive Assistant, business support, senior administration or similar role. We’re open to different backgrounds if you can demonstrate the right capabilities and mindset.
  • Strong organisational skills and the ability to manage competing priorities while maintaining attention to detail.
  • Commercial awareness and sound business judgement, with an ability to understand the bigger picture and recognise opportunities to add value.
  • A proactive, self-sufficient approach and the confidence to take initiative, make things happen and follow through.
  • Strong communication and interpersonal skills, with the ability to build trusted relationships at all levels.
  • Empathy, emotional intelligence and discretion when handling confidential information and sensitive situations.
  • Confidence using technology, including AI tools, to organise information and improve workflows.
  • Strong written communication skills and the ability to prepare clear, professional documents and presentations.
  • A team-first attitude and a genuine interest in creating a positive, connected working environment.

Experience with Microsoft Office and business systems is expected. Exposure to construction, manufacturing, supply chain or international business operations would be advantageous but is not essential.
